Finance reconciliation

Every order sold is an order booked — and you can prove it

Sales happen on marketplaces; the books live in your accounting software (PEAK today, more connectors later). Reconciliation lines the two up order by order, shows what is missing, doubled or different, and hands you a ready-to-import file to fix it.

The month strip: two dots show whether orders and accounting receipts are in for each month, and the color is the result of that month’s latest check.

Highlights

Check every order against your accounting software, month by month, and fix the gaps.

01

Two sides, one month

Orders side: an ERP or platform API, or an imported order file. Accounting side: receipts synced through the accounting API, or the export file dropped in as-is. Each side shows “API connected” or “Manual import” so you know what to do.

02

Month strip with coverage colors

Every month is one cell: a dot for orders, a dot for receipts, and the found rate of its latest check. Green at 97% and above, then amber and red; gray means not checked yet; a running month is marked so you don’t close it early.

03

Matched by order number

Each paid order (canceled left out) is looked up by the receipt’s reference number and the amounts compared, with a baht tolerance and a day tolerance you can set. Company / B2B receipts are kept out of the shop comparison.

04

Seven kinds of result

Sold but not recorded · Amount differs · In accounting but not in orders · Recorded twice · Canceled or returned but still booked · Date differs · Not due yet. Each card shows how many orders, how much money, and what to do.

05

Likely reason on every line

Shipping fee, seller voucher, platform coins, partial refund, platform subsidy, a shop with almost no receipts that month (probably not imported), or a receipt with no reference. The same difference on many orders is flagged as a promotion.

06

Ready-made fix files

Missing orders become a receipt import file in the accounting software’s own template: one receipt per order, products by SKU, the discount on its own line, the order number as reference, split into files that fit the import limit. Or export the order numbers per shop for the platform importer.

07

Codes learned, not typed

SellerTiger learns from existing receipts which accounting customer each shop uses, which date the receipts follow and whether they include platform vouchers, and suggests those settings. You only confirm the codes once.

08

Assign, mark, export

Filter a result list by shop, reason or “only not done”, mark small differences as OK in one go, download it to Excel, or assign it to a colleague as a task that links back to the exact list.

09

Daily sync and automatic check

With an API connected, SellerTiger pulls last month and this month every day at the hour you choose, can check last month right after, and notifies finance leaders only when something is open. Identical results are not saved twice.

10

Expense check with AI

Accounting expense documents are sorted into online-shop costs or not: rules first (platforms, couriers, ads), then earlier human decisions, then AI for the rest. Accept in bulk, then compare the books with SellerTiger’s own P&L line by line.

How it works

  1. 1Get the month’s data

Orders and receipts sync on their own when an API is connected; otherwise drop in the export file and preview it before saving.

  2. 2Check the month

One click matches every order to its receipt and saves the check in the month’s history.

  3. 3Read the results

Found rate, gap and the problem cards; open any card for the line-by-line list with likely reasons.

  4. 4Fix in the accounting software

Download the import file (or the order-number list), import it, sync again — fixed orders drop off the list.

  5. 5Close the loop

Assign what is left, mark small differences OK, and let the daily automatic check keep watching.

What each panel tells you

Orders
Orders paid in the period (placed date if no paid date), canceled left out. Amount = buyer paid + platform-funded voucher, the way marketplace receipts are usually booked.
Found in accounting
Orders with a matching receipt ÷ orders that should already be booked. Orders not completed yet are left out.
Shop receipts
Valid receipts in the period whose customer is a shop; void, draft and company customers left out.
Accounting minus orders
Accounting total − order total. Negative mostly means orders sold but not recorded.
Accounting coverage
Receipts ÷ orders per platform for the month — a quick view of which platform was not imported yet.
